Maintenance Management for BEMS
Medical equipment maintenance, if not properly managed, will constitute to a huge amount of operational budget for healthcare facilities. The comprehensive technology management program for medical equipment developed by Healthtronics is based on standardized protocols that embrace not only the technical aspects of maintaining medical equipment, but also the development of institutional policy regarding equipment acquisition, use, replacement, until disposition. This is achieved through a competent, dedicated team of clinical and biomedical engineers to meet the growing demands of health care industry. The innovative approaches are governed by distinctive packages to cater to the specific requirements of the customers.
Equipment Maintenance
- Planned Preventive Maintenance
Equipment under Warranty
Healthtronics will supervise the preventive maintenance carried out by respective supplier of the equipment during the warranty period. For those equipment under warranty but not covered under PPM in the purchase agreement, Healthtronics is willing carry out the performance check and safety testing on goodwill basis.
Post Warranty
Healthtronics will ensure that the medical equipment operates in accordance with its design parameters and safe working conditions. A regular PPM inspection and equipment calibration will be performed in accordance with ISO or JCI accepted standards. The asset PM frequency will be in accordance with the manufacturer’s recommendation or internationally accepted protocols in line with ISO or JCI standards.
Equipment under Warranty
Healthtronics will coordinate with the end user and the supplier to attend the maintenance request. Once the job is completed to all parties’ satisfaction the asset data records and the hard copy records will be updated.
Post Warranty
Healthtronics will restore the equipment to its specified condition when it fails. This includes Normal equipment breakdown maintenance, Routine/Scheduled maintenance, Emergency response, and On-Call service maintenance activities.
Unscheduled maintenance involves those actions necessary to restore normal function, safety, performance, and reliability to malfunction equipment.
Computerize Management Information System
Computerize Management Information System is developed to cater efficient record management on service request and asset registration. The MIS is built based on customer’s requirement on record retention as well as best practice on record management. The system provided consists, but not limited to the following modules:
- Asset register module with links to other modules
- Work order module
- Planned Preventive Maintenance module
- Maintenance history module
- Supplier-client register module
Equipment acceptance, inventory and history programs
Healthtronics carries out an inventory exercise in the beginning of the project by categorizing the asset based on international nomenclatures. The inventory would be captured in the Computerized Maintenance Management Information System which the data of the tagged asset would contain all information on the maintenance. All reports pertaining to the asset would be made available in the system to maintain an accurate and timely updated asset. Any new asset being commissioned in the facility would be tested for performance and safety before being tagged and accepted in the facility.
The following would be the scope in the above program
Acceptance Testing
- Newly purchased equipment
- Transferred equipment
- Donated equipments
Asset Registration
- Asset Tagging
- Asset Database Management
- Asset Record Management
Asset Decommissioning & Disposal
- Asset removal coordination
- Asset Database Management
- Asset Record Management
User Training and Development Program
This is an essential tool to minimize equipment breakdown which largely contributes to its maintenance cost. Healthtronics will assess the training need requirements by the end-users and will prioritize on those equipment categories with high failure rate of user related errors. Healthtronics will prepare yearly training schedules for approval by the hospital authority before execution. Under this program information on hazards, equipment operation overview, user errors, equipment use, as well as electrical safety will be shared and discussed.
Users will be trained on the proper and correct usage and operation of the equipment. Content of the training include:
- safety precautions in operating the equipment;
- proper operation including features unique to the particular manufacturer or model of equipment;
- user maintenance;
- cleanliness and decontamination awareness;
- operational verification procedures;
- recognition and correction of common operational problems;
- recognition of defective equipment and potential hazards; and
- Proper reporting procedures for maintenance requests
